For UK GDPR and Data Protection Act 2018 purposes, ADLS is the data controller for personal data processed through this website and related membership and administrative activities.
You can contact ADLS about privacy matters at info@adls.org.uk.
Scope of This Notice
This notice explains how ADLS handles personal data when you use our website, submit forms, contact us, take part in membership or event activities, or provide vessel and historical material for publication or archive purposes.

How We Use Personal Data and Lawful Bases
We use personal data to administer membership, respond to enquiries, operate events, maintain vessel and historical records, and keep our website secure and functional.
Our lawful bases may include performance of a contract, legitimate interests, compliance with legal obligations, and consent where required.
Where consent is relied upon, you may withdraw consent at any time; withdrawal does not affect earlier processing carried out lawfully.

We use essential cookies and similar technologies necessary for core site functions such as session handling, security, authentication state and fraud prevention.
Where non-essential cookies are used, they should only be used on the basis of valid consent.

Historic Records, Archival Material and Names of Deceased Persons
ADLS maintains historical and archival records relating to vessels, owners, crews, events and associated wartime or commemorative history.
Published historical content may include names and biographical references, including names of deceased persons, where relevant to legitimate historical, educational, memorial or archival purposes.
We aim to present historical information responsibly and in good faith, but some records may contain omissions, conflicting sources or historical inaccuracies.
User-Generated Content, Images and Responsibility
Some content and images on this website may be submitted by users, contributors, members, vessel representatives, or other third parties.
Contributors are responsible for ensuring they have appropriate rights, permissions and legal basis to submit material (including personal data and image rights).
ADLS cannot accept full legal responsibility for all user-generated content or images submitted by third parties, but we will act in good faith to review and address credible complaints.
Copyright and Intellectual Property Concerns
ADLS makes reasonable efforts to respect copyright, moral rights and related rights when publishing text, images and historical materials.
If you believe content infringes rights or should be corrected, removed, attributed differently, or restricted, please contact us or report the issue via the relevant form on the website.
When we receive a valid notice, we will review it promptly and take proportionate action where appropriate.
Sharing Data with Third Parties
We do not sell personal data.
We may share personal data with trusted processors and service providers (for example hosting, email, support or security providers) strictly for operational purposes and subject to appropriate safeguards.
We may share limited data where required by law, regulation, legal process, or to protect rights, safety and site integrity.
Third-Party Vendors We Use
ADLS currently uses or may rely on the following third-party software/service providers: Constant Contact, Microsoft, Amazon Web Services (AWS), Google, and Wix-related systems (including historic records exported from Wix-hosted content).
We may also use additional specialist providers from time to time for hosting, support, security, communications, and operational continuity.
Shop Orders, Payment and Bank-Related Data
Where the ADLS shop is used, we process order, fulfilment and transaction-related data including billing/shipping details, order records and payment status.
ADLS does not intentionally store full card numbers or card security codes on this website. Payment and banking transactions may be handled via third-party payment/banking providers and related processors.
We may process limited bank-related references and payment reconciliation information required for accounting, fraud prevention, refunds, chargeback handling and legal compliance.
International Transfers
Where service providers process data outside the UK, we seek to ensure appropriate safeguards are in place, such as approved contractual protections or equivalent lawful transfer mechanisms.
Data Retention
We keep personal data only for as long as necessary for the purposes described in this notice, including membership administration, legal compliance, security, and legitimate archival/historical purposes.
Retention periods vary by data type and context; where data is no longer required, it is deleted, anonymised, or archived in line with legal and operational requirements.
Security
We apply technical and organisational measures designed to protect personal data from unauthorised access, loss, alteration or disclosure.
No transmission or storage system can be guaranteed fully secure; you submit information at your own risk.
In the event of a personal data incident, ADLS will assess risk and take action in line with applicable legal obligations, including regulator/data subject notification where required.
Your Data Protection Rights
Subject to applicable law, you may have rights to request access, rectification, erasure, restriction, objection, and (where applicable) data portability.
You may also request review of historical or personal references where content is inaccurate, outdated, misleading or unlawfully published.
To exercise rights, contact info@adls.org.uk or use the relevant website form to report an issue.
Complaints and Regulator
If you are dissatisfied with our handling of your personal data, please contact us first so we can investigate and try to resolve the issue.
You may also lodge a complaint with the UK Information Commissioner’s Office (ICO).
